Updating a Project Schedule
Keeping your project schedule up to date ensures SmartPM’s analytics reflect the most accurate progress and performance. Best practice is to initially add schedule files all at once and then in data date order as they are created.
To update a project schedule:
- Open the Project
- From the Projects page, click the project you want to update.
- Upload the New Schedule File
- Click the Schedules tab.
- Select Upload Schedule.
- Choose the updated file from your computer that is in the same format as the baseline schedule
- Confirm and Process
- After SmartPM checks the schedule for any critical errors, click Submit.
- SmartPM will process the file and update the analytics dashboard.
Each upload is stored as a new version, so you can track schedule changes over time.
If your upload fails or receives a validation error, check the error message or reach out to the SmartPM support team.
Updating Schedules in Bulk
If you have multiple schedule updates ready at the same time, you don't need to upload them one at a time. From the Upload Schedule button, you can select multiple files at once to upload them all in a single action.
This is especially useful in a few common scenarios:
- Onboarding a mid-flight project: When a project joins SmartPM partway through construction, there may be a backlog of historical updates to bring in so the schedule history is complete.
- Long-duration projects: Multi-year projects can accumulate a large number of periodic updates. If a customer is catching up after a gap, they may need to drop in 10–15+ schedules at once rather than one per session.
- New team handoffs: When a new scheduler or PM takes over a project already in SmartPM, they may need to backfill any updates that weren't uploaded before they joined.
Best Practices
- Update on a regular cadence (weekly, bi-weekly, or monthly) rather than letting updates build up. Frequent updates keep performance metrics, quality scores, and forecasts current and reliable.
- When uploading in bulk, make sure files are named and dated consistently so SmartPM processes them in the correct chronological order.
- After a bulk upload, review the schedule health and quality dashboards to confirm each update processed as expected before relying on trend data.
